By integrating silos of information from multiple sources and systems, GSA is able to more effectively leverage the organization’s knowledge to manage real estate revenue and cost drivers.

eBuildings’ user-friendly portal makes it easy for property managers, employees, and contractor partners to access critical information, such as site selection, lease administration, facilities management, market planning, and project management with the click of a button. With eBuildings, PBS:

CHALLENGE

Public Buildings Service (PBS); National Capital Region (NCR) manages 151 federally owned buildings, 501 leased buildings and 70 historic buildings with seven national landmarks. There are approximately 1,100 users at the primary NCR site and 1,000 users distributed among 67 field sites that use technology to deliver workspace solutions and to support customers with diverse business needs.

Over the years, GSA has funded IT contractors to develop applications to meet the needs of federal agencies. This has created an environment of decentralized tools and interfaces which are often inconsistent and incompatible.

GSA wanted to centralize real estate property and lease administration activities, and needed a single application to integrate data from the field sites to support this effort. Their top challenges were:

  • Lack of an integrated solution for property data management.
  • Numerous software systems at decentralized locations.
  • Scattered and disconnected building data.
  • Inaccessible information.
  • Multiple internal and external files in various formats.

3H SOLUTION

Working closely with GSA associates, 3H was able to align business goals and data needs. Focus groups were conducted to define the reports needed by associates to help them perform their jobs more efficiently.

eBuildings was implemented using eSnap™ , a real-time, scalable Enterprise Information Integration (EII) solution developed by 3H. Using the GSA building identifier as the key business element, 3H was able to centralize building data from multiple internal and external sources. At the click of a button, users are able to view data pulled from both structured and unstructured data sources, and directories are made available for sharing with no risk of tampering.

3H administrators configured eSnap™ to GSA’s environment and set the security architecture for intended users based upon established group permissions. 3H engineers built eBuildings’ pages and customized views, called Snapins, to provide GSA associates with new ways of analyzing property management data. The implementation of eBuildings was non-intrusive; it did not disrupt other ongoing IT operations.

RESULTS

The versatile and flexible implementation of eBuildings allows GSA to quickly adapt to evolving needs while maintaining data security and integrity.

eBuildings provides GSA with web-enabled, on-demand realty data and management tools. Information from legacy applications is easily accessible through the web with minimal administrative oversight. Users receive information that is pertinent to them without the lengthy and unwarranted process of learning an entirely new application.

Within two months of eBuildings implementation, GSA realized improved access to building data and enhanced their quality control with the ability to identify inconsistencies between various information sources.

Today, GSA enjoys all the advantages and cost savings of eBuildings including an increased capability to effectively manage square footage and identify vacancies across properties. PBS NCR can facilitate future growth by using high quality data to maximize their real estate portfolio.
